Prepare your data to send to BHCC

Brighton & Hove City Council requires a CSV file to be sent, which contains details of visits you've provided. We've provided a tool that lets you quickly generate the CSV file from an Invoice Run.


Setting up

First, you'll need to set up your provider details so that BHCC can identify you when the file is uploaded.

To get started, open Integrations โ†’ BHCC from the main navigation.

The integration can be enabled on a per-team basis. If you have teams within your environment that don't need to generate the CSV file, you can leave it disabled for those teams.

In the top-right of the page, select the team you wish to configure from the dropdown, and then check the Enable integration box.

Provider details

Next, you'll need to enter your provider details. These will be given to you by the council. Ensure they match what the council has given you exactly.

Enter your Provider name and Provider reference, and then click Save. The details will be automatically pulled into the CSV file.

Product delivered

The CSV file also needs to included a Product Delivered column for each visit that's included in the spreadsheet. This can vary based on the requirements of the client and will be provided to you by BHCC.

Next, you'll need to add the value for Product Delivered against each of your Service Contract Types.

  1. Open the relevant Service Contract Type

  2. Scroll down to the Integrations section

  3. Under BHCC, fill in the Product field with the value that BHCC has provided for that type of service.

  4. Click Save

You've now set up everything that you need to; CareLineLive will take care of the rest.


Generating the CSV file

Now that CareLineLive knows what to included for the Provider name, Provider reference, and Product columns, it can generate the CSV files for you.

First of all, you need to generate and issue an invoice run that includes the visits you're billing BHCC for. See Generating an invoice run for more information.

Once you're happy that everything is included in the run, you then need to click Export and then BHCC Webroster CSV.

CareLineLive will start generating the file in the background and then email it to you, ready for you to send to BHCC.
