If you have different invoice runs that you would create on a regular basis, you are able to create invoice run templates. These can be used if you have a variety of different invoice cycles or need to separate different invoices based on service or providers. The invoice run templates can be set up to reduce time spent selecting settings and reduce the chance of any user errors when creating them!
Setting up an invoice run template
To set up an invoice run template, head to Finance β Invoicing β Invoice Run Templates and click on the + button. This will bring up the same menu as creating a new invoice run, without the date range option.
Use this to set the parameters that this invoice run should use each time it is created. As an example, you can choose only private contracts to show through, or create a run for a specific buyer.
Finally, you are able to choose a number scheme for each invoice run template created.
Click create to finish.
Editing an invoice run template
If you need to make any amendments to an invoice run template, you can click on the template from within the invoice run templates and select edit at the bottom.
Creating an invoice run from a template
To create an invoice run from a template, head to the invoice runs section and click the + button as usual, you will then have the option to select
New invoice run
Templates - this opens up a submenu to show all templates that can be used, as well as an option to manage templates.
Click on the template that you want to use to be taken to the next screen.
You will be able to see the template information at the top of the screen, using the 3 dots at the top right of this box you can select either to open the template, for editing purposes, or disassociate this run from the template selected and create a new invoice run from scratch.
The only field you can select if you choose to create the invoice run from the template is the date range, as all other fields have been selected in the template.
