Enabling Publishing

ℹ️ This article only covers the setting up of publishing, for how to publish bookings and shifts, see here.

Publishing allows you to control how far in advance a carer’s bookings and shifts will be visible to them on the carer app. As a default, they will be able to see anything assigned to them in the next 28 days.

ℹ️ Before enabling publishing, you will need to know that publishing can only be enabled on a per team basis. This means that there is no master setting for publishing. It also means that you will need to publish each team individually.

Head to Settings → Roster → Publishing and make sure you have the correct team enabled (if using multiple teams). Tick the box to enable publishing.

Automatic publishing

There is also an automatic range, this is a set number of days that are always visible to the carer in the app. If an unpublished booking or shift falls within this range, it will automatically be published. This can be used either as the sole method of publishing for a rolling rota, or in conjunction with manual publishing.

⚠️ The automatic range cannot be disabled but it can be set to zero. This is not recommended as it only publishes a day's bookings and shifts overnight.

Publish existing bookings and shifts?

When you click save, a pop up will appear stating 'Any bookings or shifts previously synced will no longer be updated on the carers' rotas until they are published. This means that if there were bookings and shifts on a carer's rota prior to enabling the automatic range, these will still be visible on the app but will not receive any further updates until the bookings have been published. This is to prevent carers receiving any notifications for bookings that are not yet finalised.

You will also be asked, 'Do you want to publish all existing bookings and shifts? Doing so will ensure they stay up to date on carers' rotas. Here you have two options:

  • Publish existing bookings and shifts (requires your password)

  • Don't publish existing bookings and shifts

If the bookings are ready to be seen by carers then you can publish all bookings. If you have created bookings further in advance than you want carer's to see, then leave this option unticked and you can publish them either when ready, or when they fall within the automatic range

⚠️ Once published, it is not possible to retract bookings or shifts from a carer's rota
