How to create Service Contract Types

How to create Service Contract Types for clients in your environment

To make a client active, you’ll need to assign them a Service Contract Type. If your organisation has different billing options, such as Social Services or Private, you can create multiple Service Contract Types to reflect these.

To create Service Contract Types:

  1. Click Clients and then Service Contract Types.

    This is where you'll find the list of Service Contract Types once you've created them.

    Click the + icon.

  2. Add a name and select the team that can view this contract, then click Create contract type.

    Before continuing, read the Rates article for detailed explanations of each section. This article shows you where to go, while the Rates article explains what each section does.

  3. Add the hourly rate for the new contract. This is the ideal place to set your most commonly used hourly rate, i.e. your day time rate.

  4. You can define a Non pro rata rate (or NPRR). These rates allow you to define an amount for a specific period of time, for example:

    • You may wish to charge £20 for a 30 minute visit, whereas you would normally charge £26 for an hour.

    • If you decide to use an NPRR, please ensure you add a one hour rate in with the same value as the default hourly rate, so that the contract knows when to end the NPRR.

  5. Click Add rate.

  6. Choose the time period for the NPRR and click Add rate.

  7. Add the range for any unsociable hours. You can also add NPRRs for the unsociable hours.

    Make sure to add the hourly rate to any NPRRs.

    You can also enable fixed rates and minimum contract value. For more information, see Rates and Client service contract option sets.

  8. Select the billing payment strategy and check the boxes to calculate rates.

    You can also choose to pay for carer mileage and travel time.

    If you click Enable carer travel payments:

    • You can choose whether to charge the client for mileage and whether to use custom mileage rates.

    • You can also enter a minimum journey in miles and choose to pay the difference.

    If you click Use custom rates for client mileage charge:

    • You can edit the default mileage rates. Click the Type and Per mile.

    If you click Add mileage band:

    • You can enter a maximum journey distance in miles for the mileage band. See Mileage Settings for more information on mileage.

  9. Click whether to use a local authority reference number on invoices and select a tax type from the dropdown.

  10. Select the visit duration rounding. If you click a Round up to style, you can restrict the duration for the visit and preview an example of the duration. For more information on rounding up, see Billing Options in Client Service Contracts.

    • You can also enter a minimum duration for the visit.

    • Enter the termination rights for the contract.
