A linked task is a task that is attached to a client's schedule entry. This means that every time a booking is generated from a schedule entry with a linked task, the task should appear in it. As well as this, the task will stay with the booking irrespective of what time the booking changes to.

Setting up linked tasks

To set up a linked task click the + button on the client's tasks page and select the task type you need. Click on linked and you will be presented with the following options:

You will need to select the schedule entry that you wish to link the task to.

You can only link the task to a single schedule entry. Separate entries will need to have their own individual tasks.

The task will show in the bookings generated fro the linked schedule entries.

Benefits

The main benefit of this recurrence type is that it offers the most flexibility for the task time. As the task is tied to the booking, the time of the booking does not affect whether the task will show.

Things to consider

Ad hoc bookings?

As the task will only show in the relevant linked booking, ad hoc bookings cannot show any linked tasks even if they sit in the same timeframe.

Multiple tasks?

Whilst the recurrence type offers the most flexibility for the time, it offers the least flexibility in how it is set up. Each task can only be linked to a single schedule entry. This means for a repeated schedule entry, one task can cover multiple days. However, for separate schedule entries, you will need to create a single task for each individual schedule entry. This also means that there can be multiple rows on the mar chart for the same task.

⚠️ If a linked task is set up to a repeated schedule entry that is then split into separate entries, the task will also duplicate to match the number of schedule entries. Consider duplicating the task to set a different recurrence before splitting any entries.

Changes to schedule entries

Deleting a schedule entry that a task is linked to will also deactivate the tasks. If you need to make any amends to a schedule entry, you will need to bear this in mind.

A warning should appear at the top of the schedule entry when making amendments to inform you you have tasks linked to it.
