Why Run Reports?
Our reports can be useful in many different situations, such as sending off data to social workers, analysing data for audits, providing call monitoring information to local authorities, and/or preparing for inspections.
Running Reports
We have plethora reports available in your environment to help you see how your agency is running. To run a report:
Choose Reports in the main navigation
Select the report type (by default, this is Bookings)
Choose a timeframe for this report (by default, this is today)
Pick the teams from the dropdown
Click View Report in the bottom right
ℹ️ You can apply filters to reports after clicking View Report
Common Uses
Rather than clicking View Report, you can instead choose a common use. This will automatically apply filters to the chosen report.
Quick Reports
Rather than following the above report running processes, you can simply run one of the quick reports from the list on the right instead. These will automatically choose the report type, timeframe, teams, and filters for you.
Report History
You can click to view previous reports you've ran at the bottom under History:
Background Generation
Since June 2020, reports are generated behind-the-scenes, meaning you can navigate to other pages while a report is loading and you'll receive a notification once the report has finished generating. This notification will appear in the bottom right of your management portal and in the alarm bell icon at the top.
If a report takes longer than 20 seconds to generate, we'll send you an email with the link to view the report online once it's ready too.
Report Optimisations
From June 2026, some reports may have optimised versions. These reports use different strategies to fetch the relevant data for the report.
Standard Reports
These reports are built by pulling data together from the relevant areas in your environment each time its run, doing the calculations as needed. This is more flexible but can be slower, especially for larger date ranges or bigger teams.
Optimised Reports
These reports use pre-built database views that update as soon as the data changes, rather than loading it from scratch every time. This is faster because the data is pre-organised and updates itself automatically as-you-go. Although the figures should match the standard version, the columns may be in a different order.
Report Options
Once you've started running the report, there are different options you can choose to change how the data is displayed and what sort of data it fetches. Some options - such as applying filters - may require the report to re-run.
Subjects
In the top left of some reports, you can choose a Subject. This indicates what the report is about and what each row represents. For example, if the subject is Clients in the Bookings report, then each row will show one booking per client.
Groups
In the top right of some reports, you can choose a Group. This determines how the report's data is broken down and grouped together. By default, this will be Subject. For example, if the group is Subject in the Mileage report, then the report will show overall totals.
If you choose a different grouping strategy - such as to Date or Week in the mileage report - then it will break down the report into more detailed groups, instead of overall totals.
Filters
At the top of some reports, you can choose certain filters. This restricts what sort of data is pulled into the report. For example, in the Bookings report, you can choose to filter by client, carer, booking, or other at the top:
Once you've chosen the relevant filters, make sure to click Apply Filters:
Refreshing
If some information changes that's relevant to this report, you can click Refresh on the right to retrieve the latest data:
Exporting
You can export all reports to PDF to send off, and some reports can also be exported to Excel or CSV for further analysis.
ℹ️ If an Excel or CSV export is available for a particular report, then the export may include additional columns that provide extra detail for you.
Available Reports
Your CareLineLive environment comes pre-packaged with various reports you can run to audit and export the different types of data it stores:
Attendance
The attendance report shows how many bookings a carer has and how many they have attended, it will also show attendance as a percentage on the right hand side. If you have selected a date range, rather than a single day, it will show the data for each day, as well as a total for each carer.
Bookings
The bookings report shows all the bookings that have been made within the date parameters. They will default to sorting by client, showing in order what bookings have been made, the times and duration of, which carer is allocated and whether or not they have been confirmed (if the booking is to have happened. This can also be sorted by carer and by date.
Carers
The carers report shows what carers you have in your system, the user roles assigned and contact details if provided. It also shows the contact details of important contacts and next of kin. This can be filtered based on which contract type they have, if more than one, and to only show carers that have bookings within the given date range.
Clients
The clients report shows the active clients in your system for the given day or date range. It brings up their contact details, address and the contact details of their important contacts and next of kin. This can be filtered only by whether the client has bookings in the given day/date range.
Carer Availability
This report shows the entered carer availability, showing the number of hours they are scheduled to be available/unavailable, or where these have been added in ad hoc. There are totals and an actual column which takes into account any times that availability has been overridden.
Carer Utilisation
Use this report to view how much of your carers' availability is being utilised. The report will show periods in which the carer is available, on a shift, unavailable, or with no availability scheduled. For each period, the total number of hours will be shown along with the percentage utilisation.
Carer Journal
The carer journal report shows any entries that have been made to a carer's journal within the given time period. The default is to show all the entries in chronological order but can be filtered to show only a particular carer, or by the journal type/category.
ℹ️ The carer journal report will show you notes about the carer, not the client. If you're looking to see notes about your clients and notes from your visits, please run the client journal report instead.
Carer Requirements
The carer requirement report shows the completion and expiration status of the carers that have requirements attached to them. This can be filtered so it shows only carers with an active service contract, or only carers without requirements attached in case there is a missed requirement.
Carer Reviews
This report shows any carer reviews that have happened, or are scheduled within the time range. It also shows the outcome of these reviews, the date conducted and any notes that have been made about the review. This can be filtered by type of review, who the review was conducted by, outcome of the review and by individual carer.
Carer Timesheets
This report shows what hours a carer has been scheduled in for, how many have been booked, how many hours have been delivered and how many hours are payable or un-payable for the time period selected. It will also show whether there are confirmed or unconfirmed hours within.
ℹ️ This report is best for carer hours. For client hours, please check the hours report instead.
Carer Work Patterns
This report lets you compare the work patterns assigned to each carer with what they worked. You can see the minimum, expected, and maximum hours of the work pattern, alongside the worked, allocated/booked, and shift hours. This can be exported as an Excel spreadsheet and PDF document as needed.
Carer Vaccinations
Use this report to view which of your carers have had vaccinations. Use the Disease filter to limits results to certain diseases. Read more about recording vaccinations
Client Addresses
This shows the addresses for each client. To help with reporting, there will be one row per buyer. This can be exported as CSV for further analysis and PDF for sending off as needed.
Client Journal
Similar to the carer journal, this report shows all the client journal entries made within the time range. These can be filtered by the client and also by entry type.
Client Reviews
Similar to the carer reviews, this report shows any client reviews scheduled, and can be filtered by type, whether or not they were conducted, outcome and by individual client.
Client Suspensions
This report allows you to see a list of suspended clients for the given time period. It will show the week the suspension started, as well as the actual suspension date. If relevant, the end date of the suspension will show as well.
There is a filter to only show, or omit currently suspended clients, as well as selecting specific clients.
Client Suspended Visits
This report lists the suspended visits during a clients suspension, you can see the status of whether the visit was booked or not and whether it was cancelled. You have filter options to only show specific clients, or for different client types.
Shifts
Shows a list of shifts that have been booked for the given period. Allows you to filter based on attended/unattended and paid/unpaid.
Client Vaccinations
Use this report to view which of your client have had vaccinations. Use the Disease filter to limits results to certain diseases. Read more about recording vaccinations
Contingency
This is a report to show the priority status of clients. This is in case of an emergency that means you are unable to reach all of your clients in a given time frame. You can set your client's priority status as either Red, Amber or Green with red being highest and green being lowest priority. This report groups the clients into their colour code so you can prioritise the clients that are in the most need of care.
Continuity
Some clients prefer to have the same carer as much as possible. This report shows the amount of bookings that a client has had with each carer to visit them. It also gives the percentage of visits that each carer has accounted for next to their name so you can see how often a carer/client are paired together.
Contract Expirations
This will show a list of the carer and client contracts that are due to expire in the time period selected and can be filtered to show either carers or clients. You can see the start and finish date for each contract and have an option to open up the record for the individual. Any finish reasons or finish notes will be shown as well. It is possible to group the report by the contract type.
Demographics
The demographics report takes information from the carer and client records for gender, ethnicity and nationality. It then breaks this down into sections for each and provides what percentage makes up each entry. Any information not given will be listed as "Unspecified"
Hours
The hours report shows the hours scheduled, the hours delivered, and the hours billed for each client. It also shows the number of hours cancelled and the number of hours invoiced, if applicable. This report is useful for checking if clients are getting their scheduled plan and to see if your carers are getting the right amount of hours. For more information see the article Hours Report.

Leave
the leave report shows the leave taken by carers in the given date range. This shows the type of leave, reason, when it was taken/scheduled and the duration of. This can be filtered by individual carers, or by date.
Medication Completions
Like the task completions report, except it only shows the task completions for medication tasks and PRN medications.
Mileage
This report shows the booked, payable, and paid mileage and travel time between visits and to/from home based on the locations derived from Google Maps and the Mileage Settings you have defined. For more information, read this: Mileage Report.
Punctuality
This report shows each carer's scheduled visits duration and actual visits duration. It also shows their average punctuality so you can see whether the average amount of time either side of a booking that they usually arrive.
Task Completions
The task completion report shows any tasks that were scheduled to happen within the time range. It will show completion status, the date and time of the task and what was scheduled to have been completed. The report can be filtered to group the tasks by client or by date. If it is set to date, it will still group the tasks by client for that day.
You are also able to filter down by task type which will allow you to only show medication tasks or general tasks for the time period selected.
ℹ️ The task completion report can be used to view completions for both tasks and medications
Visits
This shows all the visits that are due to occur within the given time frame. This will only show created bookings, regardless of whether or not they have a carer allocated. It is grouped by client as a default and shows the visits in chronological order, with the type of visit and scheduled carer for the visit, if there is one.
The visits report shows the planned start time, duration and finish time as well as the arrival/departure punctuality of the carer and the duration of their stay, the report can be filtered to show when a carer is either early or late by a certain margin.
If you want to see if calls times/duration have been altered from the schedule entry, you would export this report to Excel. Once exported you will see the planned start and finish time and then if you were to scroll across the report, the final few columns will show you the original start and finish times along with the start variance and duration variance.
Visit Times
This report shows a specialised version of the visits report for comparing planned and actual times, showing you the start time, duration, check-in time, check-out time, punctuality, and duration variance.

Visit Financials
This report shows a specialised version of the visits report for checking forecasted invoicing and payroll data for each visit, based on the details in their contracts.

Team Finance Summary
This report shows the forecasted revenue, carer pay, and gross profit based on the visits recorded per team in your CareLineLive environment.

Task Audit
This shows whether each task has been audited yet in the Interactive eMAR and if it passed or failed.
